Word add-in

Work with references, tables, figures, and audits without leaving the open document.

Open the add-in and set languages

The Word add-in connects the active document to your PandaRef library. Its interface is available in Spanish, English, Portuguese, French, and German; Portuguese, French, and German language packs can be installed on demand. CSL citation language is a separate preference.

In practice, open PandaRef from Word’s add-ins ribbon and sign in. Next, in settings, choose the interface language; install a pack first if prompted. Then, choose the CSL citation language separately and save settings. Finally, use Cite/References, Add, Tables, Figures, and Auditor for their respective tasks.

Choose styles and cite sources

The Word selector includes the 18 styles listed in References plus Emerald · Harvard. Citations are inserted at the cursor and may be narrative, parenthetical, or textual/direct-quote forms depending on the active style and dialog.

In practice, search the library or filter by project, then select one or more sources. Next, choose the citation form; for a direct quote, provide the quoted text and page when requested. Then, insert at the intended cursor position and check names, year, punctuation, and grouping in context. Finally, change CSL citation language independently from the add-in interface language.

Generate and update the bibliography

The bibliography is a separate document action. PandaRef does not create one merely because a reference is saved or the first citation is inserted. After you generate it, the add-in can synchronize an existing bibliography as citations change; you can also update it explicitly.

In practice, select Generate bibliography when you want the final list in the document. Next, set its appearance, such as font, size, line spacing, and paragraph spacing, then insert it. Then, after adding, replacing, or removing citations, check the existing bibliography and use Update if needed. Finally, replacing a citation by itself should not create a bibliography that has not been generated.

Insert, update, and cross-reference tables

The Tables tab lists saved tables and indicates whether they are already in Word. It supports insertion and updating, while the citation tabs can add a linked cross-reference to a table already inserted.

In practice, search and select a saved table; insert a pending table or update one already in the document. Next, review cells, headings, title, note, source, width, and formatting in the page layout. Then, to mention it in text, open Cite/References > Tables and use Cite beside an inserted table; the reference follows its number. Finally, generate the table index after inserting the tables to include; use Update after order or numbering changes. Finally, adjust index presentation options such as font, size, spacing, indentation, and page-number leader.

Insert, update, and cross-reference figures

The Figures tab reuses saved images and charts in Word. You can cite an inserted figure from the citation area and generate a separate list of figures.

In practice, select a pending figure to insert or update/reinsert a saved figure already in Word. Next, check size, position, title/caption, note, and source in the document. Then, open Cite/References > Figures and use Cite beside an inserted figure to add its numbered cross-reference. Finally, generate the figure index from inserted figures; update numbering and the index after adding, removing, or reordering them. Finally, review the index and final layout; it is separate from the bibliography.

Audit and correct in Word

The integrated Auditor reviews document references and detected citations separately. It shows statuses, matches, differences, and possible suggestions; corrections are available only for some findings.

In practice, run the audit and wait for document analysis to finish. Next, review unlinked citations, uncited references, metadata differences, and formatting issues. Then, open each finding and verify suggested data against the original source. Finally, when available, use Correct in Word, link a citation, or ignore a match only after checking its context. Finally, review the document and report after changes; the audit is not a plagiarism or academic-quality certification.

What each tab does

The add-in is a work panel alongside the open document. Insertion actions use the active file and cursor position, while the available library items come from the selected account and project.

In practice, cite/References: find a saved source, choose a style, and add a citation at the cursor; when available, create or update the bibliography. Next, add: bring sources or content into the workspace from the pane, according to the options enabled in your version. Then, tables and Figures: filter library items, preview one, and insert it into the document. Finally, auditor: open the workflow to upload a Word file, set its title, author, and style, then follow its progress and results. Finally, after insertion, review formatting in Word and save the file; later edits to a library record do not necessarily update a copy already inserted.
